Function The Program Assistant is responsible for greeting and welcoming service recipients and maintaining a professional and friendly service environment; coordinating and disseminating information among the clinic or health team staff including scheduling and announcing; facilitating the flow of information within the program; maintaining files and other information; handling matters confidential in nature and maintaining confidentiality of all clinical, financial, personnel and proprietary information. Principal Duties and Responsibility Greets and welcomes service recipients Assists in reporting for billing and fee collection Accepts fees from service recipients and documents receipt Handles fees collected according to agreed upon procedures Assists with other office tasks such as faxing and copying Answers the phone and takes messages. Returns calls as requested and as appropriate Updates and distributes staff phone list Calls work requests into the agency's designated central reporting system Maintains client files Types, copies, files program documents and reports as requested Maintains intake information Ensures that cash register maintains an accurate balance of transactions Prepares the cash and receipts from transactions for the courier to pick up and deliver Facilitates orientation groups as assignedEducation and Experience Requirements High School education or equivalent. This position requires a self-starter. Skills needed include typing, filing, office machine operation, bookkeeping, computer and dictation, as well as excellent organizational skills.
