Job ID: 105149PAY GRADE: 27N DEADLINE: January 7, 2018 CONTEXT OF THE JOB: The Office of the University Registrar, as part of the Enrollment Management Team, manages information systems, maintains students' academic records and provides educational support services for the University community. The Registrar's Office includes: Scheduling, Registration & Academic Records, Advising Support, Student Systems Administration and the University Testing Center Under the general supervision of the Associate Registrar, the Academic Records Assistant II is one of two administrative staff who manage the processing of undergraduate test and transfer credit for student records as well as the university's transfer credit matrix. The individual in this position serves as one of the initial contacts for questions from students, parents and the campus community regarding transfer credit. This individual must have strong administrative skills and exercise a high level of independent judgment, initiative and problem-solving skills. Primary responsibilities include information processing, maintaining data & databases, troubleshooting system issues, and communicating with constituencies. Requires the ability to create and maintain databases, expand matrix course equivalency information and troubleshoot system issues. In addition, the Academic Records Assistant II must have excellent oral and written skills, with the ability to handle stressful situations diplomatically. The incumbent must be able to work with confidential student records. Attention to detail is essential. MAJOR RESPONSIBILITIES: Administers the daily processing of test and transfer credits on student records for the newly admitted domestic and international student populations including special segments of these populations (i.e., dual-enrollment, RN to BSN nursing, military, ELI-Academic Transitions). Includes coding credit as appropriate to student admit status, processing withdrawals and deferrals, removing "no-shows" by 10th day of the semester, and clean-up processing after term de-activation. Performs the electronic advanced placement and processes new student paper advanced placement score reports, International Baccalaureate transcripts; Delaware in DC transcripts, and posts ENGL 110 exemptions to student records for new students through 10th day. Works with Senior Associate Registrar to identify and adjust student records for instances of duplicate credit for dual enrollment experiences. Works with the Senior Associate Registrar to review new and renewed Articulation Agreements. Compares the agreements' compilations to matrix course equivalency details and notes discrepancies. Assists with Academy One transfer matrix reviews. Compares the Academy One course details to the UD matrix and notes discrepancies. Oversees scanning of student documents and the overall filing system of transcripts, transfer credit evaluations and other student related data for the new student population. Responsible for records retention of pre-admit files. Gathers data as necessary to troubleshoot transfer credit issues or technical challenges. Attempts to resolve problems and interpret policy. Submits technical bugs and performs relevant testing, as needed. Assists with building and maintaining the transfer credit matrix and external organization data in UDSIS, including processing course equivalency information building external organization data, expanding matrix capacity and preserving historical information in the system. Utilizes current data to impact decisions regarding the transfer credit matrix, such as expanding top feeder institutional data within the matrix system. Shares the management of communications through phones and Communicates transfer credit policies to faculty, staff and students and helps resolve transfer credit issues. Supervises miscellaneous wage and student employees, including task assignments and monitoring workflow. Informs faculty, staff and students of transfer credit policies and assists in resolving transfer credit issues and establishing transfer credit procedures. Backs up the ARA II who manages duties related to the current student population. Assists with Registrar's Office service desk and phone, as needed. Perform other job-related duties as assigned; work cooperatively in a team-centered environment. QUALIFICATIONS: High school diploma or GED and two to three years in an administrative clerical position. Knowledge of the principles and practices of office management. Knowledge of academic and administrative programs, policies and procedures. Ability to analyze and interpret academic records and data, make independent decisions and judgments in keeping with the level of the position. Experience with Microsoft Office applications including, but not limited to, word processing, spreadsheet and database applications. Ability to work under limited supervision; must be able to take initiative; attention to detail required. Ability to manage and adhere to tight deadlines and handle multiple tasks simultaneously; effective problem-solving skills. Ability to compose correspondence; proofread and edit documents. Excellent interpersonal skills and ability to communicate and interact well with people of all ages and diverse backgrounds. Broad knowledge of University systems, policies and procedures as well as applicable federal and state regulations preferred. Experience with transfer credit highly desired. Experience with Oracle - People Soft/Student Information Systems (UDSIS) desired.
